Inspection Coordinator

JOB DESCRIPTION:

Service Coordinator Position Summary:will be responsible for scheduling fire alarm and sprinkler inspectors, and ensuring that all inspections are completed on time according to the contract schedule.

Responsible for prioritizing, planning and managing the Inspectors schedules on a daily basis.

  • Provides the Best Customer Experience through exceptional customer service
  • Creates and prioritizes inspectors’ schedules in a timely and efficient manner
  • Insures that inspections are profitable and meet department goals
  • Contacts customers to schedule inspections and provide updates
  • Contacts customers to confirm schedule date/time 2-3 days in advance
  • Maintains a high customer retention percentage
  • Serves as a Customer Service/Relationship Representative to customers
  • Takes ownership of customer issues and follows problems through to resolution
  • Keeps accurate records and documents customer service actions, discussions, and account details
  • Closely monitors inspectors’ activity daily and ensures that proper departmental procedures are being followed
  • Performs a follow up phone call after each inspection to ensure customer satisfaction
  • Ensures all reports and documentation are properly uploaded in a timely fashion after each inspection is complete
  • Reviews reports for consistency and accuracy before marking complete for billing
  • Creates spreadsheets outlining department performance and inspections backlog
  • Assists with updating licensing or certification verification with local municipalities
  • Manages inspector accounts in ServiceTrade and keep all information up to date
  • Assists with filing
  • Responsible for other duties as assigned
  • Reports directly to billing coordinator and department managers

QUALIFICATIONS and SKILLS:

  • High school diploma or GED required, Associate Degree in Business Management – preferred
  • One to three years’ experience scheduling service and/or maintenance technicians – required
  • Proficient in Microsoft Office Suite
  • Proficient in ServiceTrade – Preferred
  • Excellent communication and interpersonal skills
  • Exceptional phone skills
  • Exceptional customer service skills
  • Ability to cope with constant change and adaptability
  • Ability to deal with customers and resolve customer complaints or concerns while maintaining a high level of professionalism
  • Strong organizational skills

Job Type: Full-time
Compensation: $15 – $20 per hour (based on experience)
Experience:

  • Service/Dispatching/Inspection scheduling: 1 year (Preferred)
  • Customer Service: 1 year (Preferred)
  • Microsoft Office: 1 year (Preferred)
  • Service Trade experience (Preferred)
  • Prior office experience: (Required)

Education:

  • High school or equivalent (Required)
  • Associates degree (Preferred)

License:

  • Driver’s License (Required)
