Service Coordinator Position Summary: will be responsible for scheduling fire alarm and sprinkler service technicians, and ensuring that all jobs are completed on time according to the contract schedule.

Responsible for prioritizing, planning and managing the Sprinkler Technicians schedules on a daily basis.

  • Provide the Best Customer Experience through exceptional customer service
  • Creates and prioritizes service technicians’ schedules in a timely and efficient manner
  • Insures that technician service calls and scheduled repairs/installations are profitable and meet department goals
  • Reviews technician’s schedules to accommodate emergencies and trouble calls
  • Contacts customers to schedule service or repair appointments
  • Serves as a Customer Service/Relationship Representative to customers
  • Takes ownership of customer issues and follows problems through to resolution.
  • Keeps accurate records and documents customer service actions, discussions, and account details
  • Places material orders with vendors, receives material orders and stocks them for pick up by technicians
  • Closely monitors service technicians’ daily activity and ensures that proper departmental procedures are being followed
  • Performs a follow up phone call after each job to ensure customer satisfaction
  • Ensures all paperwork and documentation are properly uploaded in a timely fashion after each job is complete
  • Reviews paperwork/documentation for consistency and accuracy before marking job as complete for billing
  • Manages technician accounts in ServiceTrade and keep all information up to date
  • Creates spreadsheets outlining completed jobs & backlog weekly
  • Assist with filing
  • Responsible for other duties as assigned
  • Reports to billing coordinator and department managers


  • High school diploma or GED required, Associate Degree in Business Management – preferred
  • One to three years’ experience scheduling service and/or maintenance technicians – required
  • Proficient in Microsoft Office Suite
  • Excellent communication and interpersonal skills

  • Exceptional customer service skills
  • Ability to cope with constant change and adaptability
  • Strong organizational skills
  • Ability to deal with customers and resolve customer complaints or concerns while maintaining a high level of professionalism
  • Reports directly to billing coordinator and other department managers

Job Type: Full-time
Compensation: $15 – $20 per hour (based on experience)

  • Service/Dispatching/Inspection scheduling: 1 year (Preferred)
  • Customer Service: 1 year (Preferred)
  • Microsoft Office: 1 year (Preferred)
  • ServiceTrade experience (Preferred)
  • Prior office experience: (Required)


  • High school or equivalent (Required)
  • Associates degree (Preferred)
